The Coordinator, Content Scheduling is responsible for assisting Scheduling and Resource Management team with the daily and long-range scheduling of production and post-production staff within the Content team at PGA TOUR Studios. This position will also work with the leadership team to coordinate resources to support Studio productions, including Original, Social, Digital and Branded Content. This position is responsible to continually update PGA TOUR Studios production information and resource schedules within the Workfront schedule system. This position is also responsible for the generation of analytical reports for managers and finance.
QUALIFICATIONS
- Bachelor’s degree required
- 2 years of related experience, planning and scheduling media and/or content production projects preferred
- Knowledge of facility scheduling software preferred, specifically Adobe Workfront
- Social, Television or Commercial Production facility scheduling experience preferred
- Self-starter with proven ability to prioritize multiple responsibilities and projects to meet deadlines under pressure in a team environment
- Detail oriented with solid organizational, communication and intrapersonal skills
- Strong writing and presentation abilities including grammar, style and spelling
- Experience with Microsoft Office (Word, Excel, PowerPoint)
- Knowledge of production workflow, terminology and freelance crew structures preferred
- Commitment to a high-quality work product that meets and exceeds brand and fan standards
- Ability to work flexible hours, including evenings and weekends during key events
RESPONSIBILITIES/DUTIES
- Responsible to schedule and coordinate TOUR and freelance staff and update scheduling software (Workfront). This includes both short-term and long-term projects.
- Maintain and update crew rosters, calendars and shift rotations ensuring proper coverages for all assigned shoots
- Act as a primary liaison between production management, content creators and technical crews to align project timelines and resource needs
- Communicate call times, shoot schedules and changes clearly and in a timely manner
- Continually exchange pertinent schedule and resource information with teams involved in the production process.
- Track freelancer availability, hours worked and generate reports of labor hours as requested by PGA TOUR Studios leadership and Finance Team.
- Assist with studio bookings, room allocations and coordination of studio resources and equipment
- Maintain accurate and up to date production documentation, crew list and project trackers
- Trouble shoot last minute changes and fill gaps in schedule as needed
- Facilitate signing of annual contract related documents between PGA TOUR Studios and Production related freelancers.
- Process invoices in Media Services for Production related digital freelancers.
- Input all PTO information into Adobe Workfront.
- Foster a professional, team-orientation atmosphere that reflects the creative and dynamic nature of a studio environment
- Special projects or other duties as assigned.
