The Visitor and Member Engagement Administrator is responsible for welcoming visitors at the Home of the PGA of America, addressing their inquiries, and facilitating a smooth operation of the publicly accessible areas on Level 1. As the first point of contact between guests and the organization, this position requires excellent communication skills, a strong commitment to customer service, and a consistently warm, engaging, and diplomatic demeanor. The administrator is responsible for upholding the organization’s culture and embodying our shared values to ensure every guest feels welcomed, valued, and walks away from the Home Office having had a positive experience.
RESPONSIBILITIES (include but are not limited to):
Provide a warm and friendly welcome to everyone entering the Home Office. A positive first impression is essential.
Possess in-depth knowledge regarding the facility’s layout, features, amenities, and services available. Answer guests’ questions and provide directions to various areas of the facility and the PGA Frisco campus at large. This includes, but is not limited to, guiding visitors to offices, meeting rooms, restrooms, and other amenities.
Participate in Schedule of Events (SOE) weekly meetings conducted by the Events and Building Operations Leader to understand roles and responsibilities, and to be informed about upcoming events, meetings, and other activations in the Home Office.
Collaboratively assist with security and access control, including verifying the identity of visitors, checking identification, issuing visitor badges, and ensuring that only authorized individuals enter the facility.
Manage waiting areas and help maintain order and a calm atmosphere. Ensure that visitors are aware of any delays and provide updates as needed.
Ensure the front desk and entrance area remain clean, welcoming, and presentable at all times. Keep the front desk area organized, free of unnecessary congregating by staff, and report any maintenance, cleaning, or safety issues.
Arrange and provide building tours upon request.
Serve as a communication link between visitors and PGA of America staff. This includes relaying messages, requests, or concerns from visitors to the appropriate department representative.
Coordinate PGA Associate Happy Hours and food and beverage for internal meetings.
Answer email, Slack and other inquiries in a timely and respectful manner.
Provide information to guests about the PGA Frisco campus, local restaurants and activity recommendations, and arrange transportation as requested.
Assist with receiving and routing packages internally.
Maintain logs of visitor arrivals and departures, issue visitor passes, and collect relevant information for security or administrative purposes.
Provide ongoing administrative support to the Chief People Officer by managing their calendar and scheduling meetings as requested.

EDUCATION AND EXPERIENCE:
High School Diploma or equivalent.
One year of customer service, concierge or front desk experience.
Excellent verbal and written communication skills required.
SKILLS, KNOWLEDGE AND ABILITIES:
Knowledge of the operation of a wide range of office technology including telephones, computers, etc. Ability to effectively present information and respond to questions. Ability to establish rapport and develop good working relationships with all levels of people both within and outside the organization. Ability to solve practical problems and deal with a variety of variable systems. Working knowledge of Gmail, Google Drive, Google Sheets, and Google Docs. Basic fluency in artificial intelligence (AI) tools and concepts. This includes using AI to enhance business operations and drive innovation, enabling us to better serve our Members and stakeholders.
