The Marketing Coordinator role focuses on providing operational and logistics support for the Marketing Team with a focus on Golf and Sport initiatives. Given the time-sensitive and detailed nature of marketing materials and product deliveries, this role must have a strong ability to prioritize, focus and communicate clearly.
The ideal candidate for this position is a critical thinker with strong intuition and ability to stay a step ahead of potential issues by being highly organized and detailed oriented. Timely responsiveness, thoughtful customer service and careful attention to detail are crucial for this position.
ESSENTIAL FUNCTIONS:
- Rush Order Management: Coordinate and track all rush and priority marketing orders, ensuring deadlines and in-hand dates are clearly communicated and met across departments.
- Shipment Oversight: Manage the preparation, scheduling, and execution of high-visibility shipments to VIPs and ambassadors, events, and key retail partners; verify accuracy and presentation of all outgoing materials. Run and analyze daily order and shipping reports and communicate updates to appropriate team members to keep the process on track and manage expectations.
- Hand Packing & Presentation: Create and maintain hand-packing guidelines and scripting to ensure brand standards are upheld in every shipment and product presentation.
- Timeline Coordination: Monitor production and fulfillment timelines, proactively communicating any risks to delivery schedules and recommending solutions to meet critical dates.
- Ambassador Support: Track brand ambassador schedules, appearances, and promotional obligations to align marketing and product deliveries with their event calendars. Support brand calendar through these outfitting opportunities.
- Partnership Support: Assist with campaign materials around large corporate golf and sport partnerships.
- Communication & Updates: Maintain and distribute regular updates to internal teams on ambassador activities, upcoming shipments, and delivery statuses.
- Warehouse & Fulfillment Collaboration: Partner with warehouse, logistics, and external vendors to ensure all marketing materials are packed, shipped, and received as planned.
- Event Coordination: Support brand activations, tournaments and sponsorship events through logistics, on-site coordinating and post-event reporting.
- Documentation & Reporting: Keep organized records of all shipments, ambassador deliveries, and event send-outs to support reporting, budget tracking, and future planning.
COMPETENCIES:
- Proficient in company’s Order Management Systems such as Blue Cherry, Softeon, and RepSpark.
- Skilled with Adobe Acrobat and Microsoft Office; primarily Microsoft Excel.
- Strong planning, communication and problem-solving skills.
- Sense of urgency with extreme attention to detail.
- Organized and proficient in prioritizing.
- Effective at working in a team environment, yet able to work independently as needed.
- Ability to manage multiple priorities and deadlines concurrently.
DESIRED EDUCATION AND EXPERIENCE:
- Bachelor’s degree, or equivalent, preferred
- 2 + years of experience with marketing and/or operations
- Advanced Microsoft Excel skills
- Enjoyment of daily problem-solving
- Demonstrated success developing new ideas and improving processes
- Background knowledge of golf and tour players, preferred
- Ability to travel approx. 10 percent, potential to work some weekends as needed
