To provide administrative support to the General Manager and Office team which includes but is not limited to the following tasks:
· First point of contact to deal with members, visitors, tour operators and suppliers by telephone, e-mail and face-to-face in the general office.
· Deal with members, visitors, group bookings and Dormy house enquiries, along with all other day-to-day situations which arise in the general office.
· Ensure members’ requests and queries are dealt with in a courteous, timely and friendly manner.
· Tee sheet administration, for members, societies, visitors, groups, tour operators and Dormy house guests.
· Carry out all administration related to bookings, including updating the diary planner, creating events, preparing invoices and ensuring payments are made.
· Co-ordinate day-to-day business via the planner, liaising with the catering team in order to ensure the smooth running of day-to-day events and business.
· Planner (diary) management and maintenance, creating and updating bookings, competitions, matches, functions, events and tour operator bookings.
· Meet and welcome Dormy House guests, escort where possible to accommodation, ensure everything required is catered for.
· Liaising with the Food & Beverage contractor on a daily basis to provide diary and planning information relating to catering requirements for guests, society groups and large events and to appraise any updates as necessary.
· Assist with the membership subscription renewals. Invoicing, payment collection, Premium Credit DD and updating Intelligent Golf (membership software)
· To liaise with and assist the accounts administrator with regard collection of any outstanding monies, including but not exclusive to: catering and bar monies, members’ subscriptions and outstanding green fees range/buggy income.
· Deal with the club and Open competition bookings, payments, reconciliation, tee sheet and WHS updates.
· Routinely view the Club’s website information and template email communications and report any out-of-date information to the General Manager.
· Utilise the Intelligent Golf homepage for member information, social events, booking tickets, etc.
· General office administration, filing, photocopying, post, etc as required.
· To distribute the post and parcels to the various departments and take the outgoing post for delivery.
· Create posters and print as required for the various social events and upload to website.
· Administration support to bar and catering, menus, table plans, etc.
· Software includes – Intelligent Golf, Xero (Accounts software), Ground2Control (H&S software)
· Remuneration and Package – Salary between £18,500 to £22,000 (Part Time, 3 days per week).
