W Costa Navarino is looking for a Golf Groups Executive to support the smooth coordination and management of golf group bookings and events by accurately collecting and sharing relevant information with all hotel departments involved. Taking responsibility for the golf group business by managing daily tasks efficiently as part of the team, ensuring all details are communicated promptly. The mission is to perform at the highest standard while respecting both internal and external guests and adhering to hotel policies and standards. The Golf Groups Executive must demonstrate strong attention to detail and excellent organizational skills to competently fulfill all duties to the expected level. The ability to multitask, prioritize, and work proactively are essential for success in this role. This position involves both direct guest communication and administrative responsibilities.
Responsibilities
- Assist in updating hotel systems with accurate golf group booking details in a timely manner.
- Support the management of room blocks and golf tee-time reservations, ensuring availability and proper documentation.
- Help prepare and distribute internal communications regarding golf groups, sharing essential details with hotel departments before arrival.
- Maintain clear and friendly communication with golf group organizers before, during and after their stay, including welcome and farewell interactions.
- Assist in daily checks of group folios related to golf bookings, monitoring charges and liaising with accounting as needed (signatures, Opera Pay Master report etc.).
- Support the organization of site inspections and familiarize clients with golf facilities.
- Gain a strong understanding of W Costa Navarino’s golf offerings including course layouts, capacities, event spaces and B&F Menus.
- Handle any comments or complaints that might arise from group organizers effectively.
- To effectively communicate, in a timely manner, any amendments or alterations to all golf groups, ensuring that the guests’ needs are always met.
- Demonstrate knowledge and update in a timely manner all hotel systems (GXP, Opera, etc). Produce required reports when needed.
- Coordinate pre- and post-event activities related to golf groups under the guidance of the Groups & Events Manager.
- Communicate challenging situations accurately to responsible departments.
- Ability to adapt and maintain performance level under pressure or when experiencing changes or challenges in the workplace.
- Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times.
- Participate in training programs to enhance knowledge of hospitality, golf operations, and market trends.
- Liaise between the hotel and the Golf department to ensure seamless communication and coordination.
Requirements
- Experience in golf operations, hospitality, or event coordination desirable but not mandatory.
- Bachelor’s degree or diploma in Hospitality, Sports Management, or related field preferred.
- Proficient in writing, speaking, negotiating in English language and at least one additional language (preferably Greek).
- Basic knowledge of the golf industry, operations, and terminology.
- Excellent organizational and administrative skills within office management experience .
- Excellent time management and adaptation to last-minute changes.
- Ability to multitask through daily operation.
- Pro-active and reliable.
- Competent in MS Office applications (Word, Excel, Outlook) and willing to learn hotel systems like Opera PMS.
- Ability to pay attention to details and at the same time to have an inherent thoroughness in task approach, follow up and completion within a timely manner.
