The role will be a mix of home and office working from our head office in Chessington.
The Order Management & Wholesale Account Coordinator will join us on a full time, permanent basis and in return you will receive a competitive salary of up to £30,000.00 per annum depending on experience, alongside a great range of benefits, including:

We’re looking for a proactive and detail-oriented Order Management & Wholesale Account Coordinator to manage the full lifecycle of wholesale orders — from entry to warehouse ready. You will serve as the go-to liaison between our customers, Sales, Finance, and Sales Operations teams to ensure smooth processing, timely communication, and high customer satisfaction.

ROLES AND RESPONSIBILITIES
- Own the daily management of external and internal customer queries – processing new and amended wholesale and intercompany orders, issuing credit/debit notes, coordinating returns, and releasing orders from hold, all within agreed SLAs.
- Distribute the weekly open orderbook report with clear status updates and lead review calls with Sales to drive resolution of held or delayed orders.
- Monitor and act on at-risk orders approaching cancellation dates to prevent disruption.
- Deliver a clear, concise weekly report on order risks, cross-functional updates, and required escalations.
- Report on customer service SLAs weekly, identifying key drivers behind performance trends and working with stakeholders to remove blockers or improve turnaround time.
- Act as the central point of contact for all order-related queries, working closely with Sales, Sales Operations, Planning, and Credit Control.
- Conduct bi-annual orderbook audits to ensure data accuracy.
- Identify recurring issues and recommend process improvements to boost efficiency and reduce errors.
TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)
- Proficient in Microsoft Applications (i.e. Word, Outlook, PowerPoint etc.).
- Strong Microsoft Excel skills and experience using ERP systems (SAP preferred),
- A customer-first mindset with confidence handling high volumes of orders and queries,
- Clear and professional communication, with the ability to build strong working relationships,
- Organised, reliable, and able to manage time effectively in a busy environment.
- Comfortable with change and eager to learn, with a hands-on, can-do attitude.
- A team player who takes ownership but knows when to ask for support or escalate issues.
- Keen to grow in a role that offers variety, responsibility, and cross-functional exposure.
Demonstratable experience in retail customer service and operations support, with strong system proficiency and adaptability; holds a bachelor's degree or equivalent experience preferred but not required.
