GENERAL JOB DESCRIPTION
The Payroll Specialist will oversee and process the organization’s payroll for all US, Mexico, Australia, Brazil, Columbia, and UAE employees, ensuring pay is processed on time, accurately, and in compliance with government regulations.
The payroll specialist’s responsibilities include day to day activities of the payroll function, calculating wages, preparing and processing employee payroll, monitoring vendor reporting requirements for payroll taxes, keep abreast of changing regulations, and maintaining accurate payroll records. To be successful as a payroll specialist you should be able to investigate and resolve payroll issues and ensure strict compliance with company and regulatory standards. The position will function in close collaboration with both the HR and Finance management teams.
PRIMARY DUTIES AND RESPONSIBILITES
- Ensure timely and accurate payroll processing.
- Process international payrolls for Mexico, Australia, Brazil, Columbia, and UAE.
- Maintain relationships with external payroll vendors and tax authorities, ensuring timely and accurate filing of payroll-related reports and payments.
- Address escalated issues and questions regarding payroll from employees and managers.
- Reconcile all appropriate payroll taxes, withholdings and employer deductions.
- Resolve any agency discrepancies for tax filings within ADP.
- Develop and implement payroll policies, procedures, and controls to ensure compliance with relevant regulations and policies.
- Partner with Payroll & HR Coordinator for weekly payroll processing and ensuring a positive experience for all employees.
- Collaborate with HR, Finance, and other teams to ensure alignment and accuracy of employee data and payroll-related accounting transactions.
- Reconcile payroll invoices.
- Prepare reports for SLT, HR team, finance department, etc.
- Develop and deliver payroll-related training and communications to ensure payroll-related policies and procedures are communicated effectively across the organization.
- Monitor and analyze payroll data to identify trends and areas for improvement and implement process improvements to increase accuracy and efficiency.
- Serve as a subject matter expert on payroll-related matters, providing guidance and support to other teams as needed.
OTHER DUTIES AND RESPONSIBILITIES
- Performing account balance and payroll reconciliations.
- Preparing periodic payroll reports for review by management.
- Assumes additional duties, projects as requested or assigned.
QUALIFICATIONS FOR THE JOB
Education:
- High school diploma or equivalent required.
- BSc/BA in business, accounting or relevant field preferred.
Experience:
- 5+ years of experience processing multi-state payroll.
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
- Working knowledge of basic accounting principles and payroll practices.
- FPC or CPP Certification preferred.
KEY COMPETENCIES
- Working knowledge of relevant software: e-Time and the ADP payroll software platforms (or comparable software/systems).
- Proficiency in Microsoft Office (esp. Excel).
- Understanding of company payroll policy, government regulations, and tax requirements.
- Ability to manage multiple projects, assignments in a demanding environment.
- Ability to work independently.
- Trustworthy with attention to confidentiality and information sensitivity.
- Outstanding organizational ability with great attention to detail.
- Excellent communication and interpersonal skills across various levels of management.
PHYSICAL REQUIREMENTS
- While performing the duties of this job, the employee is regularly required to talk or listen.
- This position may be required to stand, walk, sit, use hands to feel; reach with hand and arms, and stoop, kneel or crouch as needed.
- Specific vision requirements include the ability to see at close range, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
