JOB SUMMARY:
Responsible for assisting with the on-site coordination of all Volunteer Operations and Championship related activities as well as working with the onsite Championship Volunteer Operations Manager to produce a successful Volunteer Program for the Championship.
RESPONSIBILITIES (Specific areas of responsibility include but are not limited to):
VOLUNTEER OPERATIONS RESPONSIBILITY:
Assist with the coordination of the Championship volunteers, to include helping with recruiting, enrolling, educating, outfitting, scheduling, training and leading volunteers through Championship Week.
Work with Trust Event (Volunteer Management System) to help maintain an accurate and up-to-date system for volunteer registrations and profiles, release forms, uniform orders, shift availability information, etc.
Assist with organizing and training Committee Chairs in order for them to effectively lead their Committees during PGA Championship Week.
Assist the Championship Manager of Volunteer Operations, the Championship Director and the Committee Chairs with various administrative tasks
Assist with the planning, organization and execution of the on-site Volunteer Headquarters.
Recruit a local service provider to set up and serve daily continental breakfast
Brainstorm and coordinate the securing of unique amenities to enhance the overall volunteer experience within Volunteer HQ (ex. Popcorn machine, musical entertainment, etc.).
Organize, plan and execute special activities within Volunteer Headquarters, including happy hour, prize giveaways, volunteer recognition, etc.
MISC. CHAMPIONSHIP RESPONSIBILITIES:
Assist with the organization and execution of various Championship special events.
OFFICE ADMINISTRATION RESPONSIBILITY:
Serve as the receptionist for the Championship Office, directing and/or assisting vendors, volunteers, and other visitors when they arrive at the Championship Office.
Answer the main Championship Office telephone and direct calls to appropriate staff members.
Assist with the setup and maintenance of the Championship Office. This will include ordering office supplies, assisting with setting up office space to suit the needs of working staff.
Order and re-stock refreshment products (soda, juice, water, snacks) used by the Championship Office.
Ensure any outgoing mail is posted and taken to the Post Office in a timely manner. Ensure incoming mail is picked up in a timely manner and delivered to the appropriate staff member.
Manage all operations relating to sending packages via UPS and/or FedEx.
Coordinate and execute all aspects of any informational mailings (copying, collating, packaging, applying postage, etc.).
Communicate important information related to the Championship Office to all appropriate individuals.

EDUCATION AND EXPERIENCE:
High School Diploma or equivalent. Bachelor’s Degree preferred.
Two years of experience in customer service, event or volunteer administration, preferably at a Championship.
Job Knowledge/Technology: Must have knowledge of organization functions of a Championship operation with an emphasis on volunteer administration. Skills in planning and organizing. Strong interpersonal written and oral communication skills. Skills in database management. Ability to effectively present information and respond to questions. Ability to apply judgment and decision making skills. Ability to perform tasks with minimal supervision. Ability to pay attention to detail. Ability to handle several tasks at a time in a fast-paced environment. Ability to maintain composure and work under deadline pressure. Ability to organize, prioritize and expedite flow of work. A demonstrated understanding of Google Workspace and MS Office Suite with an emphasis in Excel and database tools.
Ability to travel required. Ability to stand for extended periods (6+ hours per day). Ability to work overtime, including weekends (sometimes up to 15 hours a day).
This position is approximately a 5 month assignment.
*The scope of the various Championships will vary, however, the general duties, skills, knowledge and abilities to perform the functions of this position remain constant. The word Championship throughout this description is defined to mean PGA Championship, KPMG Women’s PGA Championship, KitchenAid Senior PGA Championship or Ryder Cup.
