Reporting to the Director, Accounting, the Senior Manager of Payroll is responsible for supervising a team of payroll professionals to ensure that all required payrolls are completed accurately and timely. This includes overseeing the end-to-end payroll process for North America companies and ensuring accuracy, compliance with all regulatory agencies, and adherence to company HR policies. Incumbent also drives effective Payroll processes throughout the organization while maintaining a high level of customer service to the employees and management of the Company.
ROLES AND RESPONSIBILITIES
• Oversee the full payroll cycle process including employee related data transactions, preparation and processing of payroll, auditing payroll transactions and results, and external tax/compliance reporting review for all North America payrolls.
• Manage end to end payroll process for hourly and salaried employees which includes but is not limited to audit, validation and reconciliation of payroll data to ensure accurate and timely processing and payment.
• Serve as the payroll and payroll taxes subject mater expert within the payroll team and among internal and external stakeholders, and auditors.
• Analyze, audit, reconcile and resolve payroll and timekeeping processing and employee payroll issues to ensure compliance with company policies and procedures.
• Lead and manage a payroll team, oversee task assignments, workloads, and maintain a collaborative and team-oriented environment to support professional growth while meeting payroll deadlines.
• Hire, train, develop and manage performance of direct reports.
• Work with cross functional teams within the company on global mobility, tax, benefits and new business activities to ensure regional payroll needs are identified, considered and communicated.
• Stay current on payroll related regulations and compliance, benefit and labor law changes, which may impact the payroll processes.
• Ensure compliance with federal, state and local payroll and payroll tax requirements.
• Manage/complete the audit and reconciliation of periodic tax filings, payroll related bank transactions, and quarterly and annual payroll filings.
• Review payroll account reconciliations, support payroll related items for month end and quarter end close and assist General Ledger department to resolve discrepancies.
• Implement and maintain internal control policies, procedures, and compliance with respect to the payroll process, including, but not limited to pay policies, payroll calendars, payroll checklists, process maps and other procedural documentation and support internal/external audits.
• Manage, drive and coordinate process improvements affecting the payroll operation.
• Manage and maintain all necessary configurations in the Payroll Processing system to ensure they function appropriately and accurately (e.g. earnings codes, payroll deductions, general ledger rules/mapping, etc.).
• Manage and maintain all necessary configuration in the Time system to ensure they function appropriately and accurately (e.g. company setup, pay rules, schedules, employee groups, etc.).
• Ensure all necessary report configuration is created/updated accurately for payroll, financial reporting and management needs.
• Lead and support various HR/Payroll related projects, including payroll software implementation and upgrades.
• Partner with and support HR, Benefits, Accounting, Legal and Finance Functional leaders.
• Gather/update information for any required legal, contract negotiations, employment or agency audits (e.g. workers compensation, employment audits or any other legal or agency needs).
• Support International Offices, as needed by Callaway Senior Management, including researching, evaluating, and recommending payroll providers and/or organizational setup for international subsidiaries to achieve maximum cost efficiency and highest level of service and support.
• Responsible for the oversight of Expat employees.
• Assist the Tax Department with the preparation of foreign tax returns for employees on international assignment.
• Assist with the annual budget for the payroll department.
• Maintain high level of customer service to Callaway and affiliated employees, management and third-party affiliates.
TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)
• Advanced and thorough knowledge of Payroll and Timekeeping regulations, processes, standards, best practices and controls.
• Knowledge and understanding of executive compensation, stock compensation and other various taxable fringe benefits.
• Able to research, evaluate, and troubleshoot payroll and payroll systems related issues to develop and implement sound long term solutions.
• Thorough knowledge of Payroll tax filing requirements and ability to audit vendor tax filings and related reports and determine appropriate course of action to address errors or discrepancies.
• Excellent managerial and leadership skills.
• Excellent communication skills, both written and oral, including ability to manage sensitive or emotional situations with customers and coworkers in a professional manner.
• Excellent project management and organizational skills, including the ability to manage numerous concurrent projects and priorities in a fast-past environment.
• Ability to autonomously manage various payroll service provider relationships.
• Able to communicate and collaborate well with associates at all levels within the organization.
• Excellent analytical and problem-solving skills with the ability to proactively identify and implement effective solutions.
• Proficiency in MS Excel and banking software.
• Able to adapt to changing business environment and adjust priorities as appropriate.
• Moderate to advanced understanding of general ledger and accounting policies with regard to cash and payroll.
• Solid understanding of and ability to enforce control procedures, particularly in a publicly traded company.
EDUCATION AND EXPERIENCE
• Bachelor’s degree in Accounting or related field, or equivalent work experience.
• Certified Payroll Professional (CPP) preferred.
• Minimum 5 years of payroll and payroll tax experience in a global, publicly traded, global, multi-tax state Company, with at least 3 years of experience managing and leading a payroll team.
• Experience with Workday is preferred.
• Dormakaba/B-COMM Time Keeping experience is a plus.
• Experience with union payroll is a plus.
