The role of the Payroll Administrator is responsible for overseeing and processing payroll for approximately 200 employees across three business units. This role ensures the accuracy and compliance of the payroll that is processed, through knowledge of state and federal payroll law and the interpretation and application of union contracts. The payroll administrator fosters strong working relationships with the department managers, supervisors and employees to ensure that all aspects of the payroll process are completed within the set processing timelines and is integral to ensuring all employees are paid accurately and on time. They must also share the desire to provide team members with a positive, friendly working environment that exudes the Aloha spirit.
Primary Duties/Responsibilities:
· Manages all aspects of the payroll process for three business entities
· Processes bi-weekly payroll for around 200 full time, part time, casual, salaried and hourly Team members within the golf industry
· Processes new hires, terminations, rate changes, benefits and elective deductions changes and enrollments
· Manages the payroll system to ensure proper set up of payroll rules including state law, federal law, union contracts etc
· Ensures payroll is compliant with State/federal law and union contracts where applicable
· Verifies timesheets for accuracy and completeness
· Responds timely and works with Department heads and supervisors to ensure timesheets are submitted and approved within the payroll processing timelines, scheduling, time/attendance, and tax issues
· Works with payroll vendor to optimize and resolve issues within the payroll system and payroll processes
· Works with the Human Resources/benefits teams to ensure all deductions (tax, health, elective benefits etc.) are entered correctly
· Audits payroll to ensure accuracy of payroll and deductions
· Supports accounting team with monthly journal entries, monthly and year-end payroll reconciliations, and reporting
· Responsible for additional Human Resource functions including but not limited to, job posting, administration of certain benefits, file retention, team member communication, team member events etc
· Maintain accurate employee records and manage data entry tasks to ensure compliance with company policies.
· Administer employee benefits programs, including health insurance, retirement plans, and leave policies.
· Works with the Director of Talent and Human Resources team to resolve issues that arise and on proposed optimizations to the system
· Additional payroll or Human Resource duties as necessary
Qualifications/Skills:
· 2+ years of payroll experience or education
· Payroll certification desirable or willing to obtain
· 1+ years of Human Resources experience or education
· Previous experience working with union contracts
· Knowledge of payroll best practices, state and federal payroll law
· Very detail oriented, organized and self-driven to execute on timelines
· Works and communicates well within a team environment
· Shows tact and discretion when dealing with confidential information
· Very strong computer skills, especially Microsoft office
· Experience in working with different payroll systems desirable-willing to become the expert of the payroll system
Physical Requirements of the Job:
Regularly requires sitting, attention to detail, concentration and alertness, reading in small amounts at a time.
Frequently requires intermittent standing and walking, typing and preparing human resources and payroll reports and forms, reaching, eye-hand coordination, working at a computer station, writing and composing written language, meeting requests and assisting employees, applicants, co-workers and supervisors, speaking and listening to others, use of and talking on a multi-line telephone, mathematical ability.
Occasionally requires climbing steps, stooping, bending, twisting, use of computers, pushing/pulling of 21-50 lbs. (file cabinet drawers), lifting/carrying 0-20 lbs., receiving instructions, exposure to dust, dirt, heat and sunlight, chemicals/fertilizers, wet and other environmental working conditions associated with working around golf course conditions.
Visual capabilities required: good to excellent vision, wide field of vision, depth perception, accurate color vision.
